2. What we use your data for (purposes) and legal basis
- Management of requests (“leads”) that you send through forms: forwarding your query and contact details to the selected residence/center/university so that they can respond to you directly. Legal basis: consent (art. 6.1.a GDPR).
- Customer service (issue resolution, tracking of your request). Legal basis: legitimate interest in properly managing the service (art. 6.1.f GDPR).
- We will send you our own informational communications (newsletters, updates) only if you consent or subscribe voluntarily. Legal basis: consent (art. 6.1.a GDPR).
- Site improvement and security (technical logs, aggregated statistics without identification). Legal basis: legitimate interest (art. 6.1.f GDPR).
- Compliance with legal obligations (e.g., addressing rights, responding to requests from authorities). Legal basis: legal obligation (Art. 6.1.c GDPR).
We do not make automated decisions with legal effects or carry out profiling that produces similar effects. We do not request special categories of data (Art. 9 GDPR). If you include sensitive information by mistake, we will delete it.
3. What data do we process and where does it come from?
- Data that you provide to us in forms: name and surname, email address, telephone, city/country, center or program of interest, message and preferences (fields may vary depending on the form).
- Minimal technical browsing data (e.g., IP address, device identifiers/cookies according to your choice). Details of cookies and preferences are available in the

4. Who do we share your data with?
- Residences, universities, or centers that you select on the form will contact you to process your application. These recipients act as independent Data Controllers and will process your data according to their own privacy policies.
- Data processors who provide us with services (web hosting, form tools, transactional email, email marketing/CRM, analytics). We have signed data processing agreements in accordance with the GDPR.
- Public administrations and bodies when there is a legal obligation or valid requirement.
Suppliers we can use as managers (informative)
- Hosting and database: European hosting provider (Webempresa Europe and Siteground).
- Web analytics: Google Analytics 4 (Google Ireland Limited / Google LLC).
- Email marketing/CRM: HubSpot, Brevo (Sendinblue).
- Transactional email: Mailgun.
- Forms: Gravity Forms (software on our server).
5. International transfers
Some providers may be located outside the European Economic Area (EEA) or use global infrastructures. In such cases,

6. Conservation periods
- Leads referred to residences/centers: we retain technical evidence of the referral (timestamp, IP, information text/consent) for up to 24 months in order to prove legality and manage incidents.
- General inquiries: up to 12 months from the last interaction or resolution.
- Subscriptions/commercial communications: until you unsubscribe or withdraw your consent.
- Legal obligations: for the periods necessary to address applicable responsibilities and requirements.
7. Your rights
You can exercise your rights of access, rectification, erasure, opposition, limitation of processing and portability by sending your request to info@residenciasuniversitarias.es or by mail to the address indicated, proving your identity.
When the basis for processing is consent, you can withdraw it at any time without retroactive effect. You also have the right to file a complaint with the Spanish Data Protection Agency (AEPD).
8. Forms and consent text
Our forms include a checkbox to accept the Privacy Policy so we can forward your application to the chosen center. Separately and optionally, you can consent to receive informational communications from residenciasuniversitarias.es. No checkboxes will be pre-ticked.
Recommended example: “I have read and agree to the Privacy Policy and consent to the transfer of my data to the selected center/residence/university so that they can contact me by email/phone/WhatsApp and process my application.”
9. Minors
Our services are not directed at children under 14 years of age. If we detect data from minors without valid consent, we will delete it.
10. Security
We implement appropriate technical and organizational measures to protect your data (access control, encryption in transit, backups, and internal minimization policies). However, no system is 100% infallible; we will cooperate diligently in the event of any incident.

12. Changes to this policy

If you are the owner of an establishment and wish to update or remove visible information about your entity, you can request this at any time:

To expedite the process, please indicate: affected URL(s), requested changes (or content to be removed) and reason (e.g., outdated information, cessation of activity, end of collaboration, intellectual property rights, personal data, etc.).
residenciasuniversitarias.es will verify the applicant's eligibility and process routine update requests within a maximum of 5 business days. Requests based on manifest illegality (e.g., infringement of intellectual property rights, personal data protection, or a court order) will be processed within a maximum of 48 hours of validation.
The removal or modification of content does not affect contractual or financial obligations.
